Transition from Workplace to eXo: a fast implementation in 30 days
Agefiph (Association for the Management of Funds for the Professional Integration of Disabled People) is a french public interest association that has been working for over 30 years to promote the professional inclusion of disabled people in the private sector.

As a key partner in the employment policies implemented by public authorities, Agefiph initiates, develops, and supports services and measures aimed at promoting access to employment, job retention, and career advancement for disabled people.

To fulfill this mission, the association relies on a territorial network of 14 regional delegations and coordinates a Network of Disability Advisors. This network, at the heart of Agefiph's service offering, brings together disability advisors from companies and organizations subject to employment obligations. It provides a space for dialogue, sharing best practices, and jointly developing concrete solutions.

Challenge

In 2023, Agefiph launched a collaborative social network based on Workplace by Meta to engage and bring together members of its Disability Referral Network across France, including overseas territories. This platform enabled users to share resources, organize events, and promote exchanges between professionals committed to inclusion.

With the announcement of Workplace shut down on August 31, 2025, Agefiph had to quickly find an alternative that could support this dynamic network and ensure continuity of service.

The challenge was significant: the new platform had to be operational before the end of the current solution, while integrating the nearly 4,000 users already registered on Workplace (disability advisors from external organizations and internal advisors from Agefiph's regional delegations and business departments).

Beyond simply replacing a tool, the project had a strong ambition: to strengthen cooperation, mutualization, and the sense of belonging within the network. To achieve this, the new platform had to meet several strategic objectives:

  • Connecting all disability advisors

  • Facilitating information, best practices and resources sharing

  • Encouraging mutual support and peer interaction

  • Supporting regional network events

  • Developing a common culture around disability and inclusion.


Key features were expected: smooth communication, an event space, a knowledge base accessible to all, and a secure framework for monitoring and managing files. This had to be hosted on a private cloud, guaranteeing data security and sovereignty.

Why eXo?

In its search for an alternative solution to Workplace, Agefiph chose eXo Platform for its ability to fully meet the functional, technical, and human needs of the project.

Several key criteria motivated this choice:

  • A full-featured and customizable collaborative platform: eXo provides a rich and modular set of features that are perfectly aligned with Agefiph's requirements, while being more flexible and customizable than Workplace.

  • A sovereign solution: hosted on a private cloud, eXo Platform is a French solution that guarantees data sovereignty and complies with regulatory requirements in terms of GDPR, RGAA (digital accessibility), and security.

  • A close relationship with eXo: the eXo team has a direct, smooth, and responsive relationship with the project stakeholders, facilitating communication throughout the process.

  • Recognized expertise in migration from Workplace: eXo has solid experience in supporting customers coming from the Meta environment. Agefiph was thus able to benefit from a controlled data transfer and structured change management support.

  • A long-term commitment: thanks to a constantly evolving product roadmap, enriched with customers feedback, eXo proves its willingness to co-build a sustainable solution tailored to the user needs.

The impact

The project stood out for its speed of implementation. It was launched on June 1, and the new platform, called RRH Connect, was up and running by June 30, in just one month. This lightning-fast deployment was made possible by the strong engagement of both parties.

This accelerated implementation was based on two key factors:

  • The data migration tool developed in-house by eXo Platform, enabling a smooth and secure transfer of content from Workplace.

  • The agility of the Agefiph project team, which was deeply involved in every stage of the project.

In just one month, we were able to relaunch a fully functional platform for more than 4,000 referrers and lay the foundations for a sustainable tool tailored to our community. This fast deployment would not have been possible without the involvement of the eXo teams, their proximity, and their excellent mastery of the subject.

The first version of the platform was designed to be easy, clear, and immediately operational: an activity feed, featured news, and, above all, collaborative spaces by region, each with its own knowledge base. A cross-functional knowledge base also allows resources to be centralized at the national level.

To structure the learning process and encourage the tool adoption, a progressive training program was set up:

  • Webinars dedicated to group leaders, to train the first relays in the network

  • Then sessions opened to all users

  • Personalized support for regional facilitators by the eXo teams

  • And finally, a centralized help page, accessible at any time.


In just one week after the new platform went live, more than 730 unique connections had already been recorded, proving the interest and involvement of network members.
The data migration tool was decisive. It enabled us to transfer our content securely, without any disruption for users. From the very first connections, we noticed that users were embracing the new platform. The availability and attentiveness of the eXo teams were essential to this project success.
